Over the summer break the UCC will be working on a bunch of projects in preparation for the new year and its 40th Anniversary. <> = Events = Event Management !HowTo to be created by [SAS]. All of committee expected to work on some events, which will be further planned at the next Workshop Meeting. == LANs == Worked on by [TJB] and [BG3] Regular LANs are UCC's common social events which are usually held in the Cameron Hall Loft in and out of semester. Overall organisation requires the least effort of all the events. A mostly up to date tutorial can be found here. === Specialised LANs === Essentially the same as a normal LAN except is themed to a particular game. The game used at this point is Artemis, the UCC has a non-DRM copy on Heathred to use. These LANs usually turn into a regular one throughout the event. Note: This is a recent concoction which hasn't been hosted a great deal. Currently it is held in conjunction with UniSFA and Unigames. === MegaLAN === The MegaLAN is the one big LAN of the year which usually attracts double the attendees and requires booking venue on campus to handle the capacity. A fair bit of money is spent on this event and requires further work and organisation to be financially sustainable. See MegaLAN2010 and MegaLAN2013 CASSA are looking to host one in association with us this year at Mt Lawley. Their venue is free to hire and requires less organisational effort from UCC, this would be beneficial for UCC members. == Tech Talks == Worked on by [SZM] and [GOZ] Commonly the education arm of the club, Tech Talks are common events which strive to educate freshers and the unlearned about all the various wonderful tech in the world including those used in UCC. Previous Tech Talks run by [SZM] can be seen here. [GOZ] has recently started an Introduction to Programming Tutorial which was held one Friday in Semester 1. A full series will be hosted weekly in Semester 1 2015, turnout is expected to be high. === HowToUCC === [SAS] had the idea of a first semester HowToUCC series combining the Tech Talks and !Lrn2Linux to introduce members old and new to the services that UCC supplies and how best to utilise their membership. This would be a drawn out weekly series of 1 to 2 months likely hosted on a Friday afternoon with longer, slower tutorials which walked through basic concepts and services, to projects and UCC hardware. [BG3] has started a web version at HowToUCC == Camp == Worked on by [GOZ], [BG3] and [SAS] [GOZ] may have been put in charge of camp stuff this year. Thanks to [*OX] and [GOZ] for doing EMP and RMP things.<
> This year the camp will be an inclusive underage event with a complete alcohol ban. <
> [SAS] was the dummy who completed Student Leadership Training (SLT) and has to sign his name on everything.<
> We need competent first-aiders for this event, which costs people $100-$200 for the course. UCC may look at contributing toward this cost in order to secure available first-aiders in the future.<
> Student Leadership Training needs to be completed for other event organisers which is being held on July 15th and 16th, two days before the camp is scheduled. UCCCamp2014 was a success, UCCCamp2015 is in the planning with committee approving it to be an 18+ alcohol event.<
> New Camp Organisers are to be decided upon by the committee. == Quiz Night == Worked on by [TJB] and [ODF] [TJB] successfully helped MC the Quiz Night Event was a success In the future we need to improve publicity and promotion, old committee needs to work on this before AGM changeover. == 40th Anniversary Dinner == Currently worked on by [BG3] Looking to be hosted at the University Club on Friday, 12th September 2014. = Sponsorship = [SAS] secured sponsorship from Boost Promotional Products<
> Prospectus should be looked at in the near future, potentially when Guild releases a template prospectus Template sponsorship letters should be created for events like the Quiz Night and Charity Vigil = Website Redesign = Worked on by [MRD], [BG3] Changed fonts and colours. Yay!<
> Needs content and structure overhaul<
> Wiki Pages need to be created for machines and services, machine pages need history, bug old guard.<
> Current website pages need to be rewritten, feel free to write these in a document for future review and inclusion. = Policy Review = Worked on by [GOZ], [DTK], [ODF] and [SAS] Current Policy Projects: * Committee KPIs: see HowToCommittee positions * UCC Collated Door Policy (to be finalised by [SAS], only bug him if you want to help write it) * Definition of Wheel Group * Group Admission Guidelines to be rewritten or incorporated into other documents. * LOLCATDOG * Clubroom Rules could to with a refresh and remailing Currently all below points are suggestions to be debated upon.<
> If you wish to be apart of the review attend a committee workshop where policy is reviewed and formed before suggested to committee and add your TLA to the list above. == Door and Coke == * Suggested that the two groups be merged * Always coke member in the room * Restrict membership further to those trusted greatly * Still reserve committee discretion as to criteria * Coke purges would be easier * Would need to rewrite LOLCATDOG * Group needs new name * Recent door policy rewrite has been effective and little conflict has occurred since inception * Prospective door members should empty bins * Investigate financial incentive ($1) for those who do * Promotes engagement also good welfare strategy * They can only request / recommend account locking from wheel for suspected service abuse by other members * Admission Guidelines * Simple consensus of the committee (consensus of those present) * All committee members have right of veto whether present or otherwise expressed * Any committee member can remove anyone from the group at any time * This action is then reviewed at the next committee meeting == Wheel == * Needs written documentation of general objects * Only manages UCC services * Account Locking Guidelines * Committee ability to remove wheel members while keeping wheel independent == Admission Guidelines == * All groups except Wheel * Simple consensus of the committee (consensus of those present) * Every committee member has a veto, by email notice to committee or at the meeting * 4 days notification required of any application * Decision can be delayed indefinitely (revisited at each subsequent meeting) * Removal * X days notice to member * Simple majority of committee * Suspension * Any committee member can suspend another member from a group until the next committee meeting where a decision will be made as to whether that member should stay on the group * Wheel * Notice to committee 4 days in advance * Simple consensus of Wheel to pass == Clubroom Rules == * Computer Priorities 1. Club Work 2. Uni Work 3. General Education (incl. Projects) 4. General Computing (incl. Games) * All cables must stay plugged into machines unless permission has been given otherwise (by committee or door)? * Keep bags out of the way * If requested to move it, do so * All rubbish is to be binned appropriately * Respect club equipment * Breaking any of these rules may lead to dooring * Door members to enforce these rules = Fresher Guide = Worked on by [SZM], [VAN], [HTL] and [SAS] Can be seen at https://github.com/ucc/FresherGuide FresherGuide2015 to be collated in January 2015 = Clubroom Improvement = Worked on by [XON], [BG3], [ODF] and [VAN] * Desktops are now cable managed and looking neat. * Started cable managing cables in storage boxes and throwing out ones we have too many of * BlinkenLights in the Coke Machine = Publicity = Worked on by [SZM], [MRD], [NEO] and [SAS] ---- CategoryProjects
