When to follow this procedure
If you would like to change or correct the name we have for you in our systems, or if you're a committee/door/wheel member looking to help someone with the same.
DO NOT use this procedure if the requested name change or correction involves updating a username, as doing so is a more involved process. Instead, please reach out to wheel on Discord or via [email protected] for assistance.
What to do
For yourself
Next time you're in the clubroom, just ask your friendly neighbourhood committee, door or wheel member. If you can't make it in, feel free to reach out to someone on Discord or to [email protected], though it may take a little bit longer as we'll have to verify who you are before proceeding.
For wheel members
To change the name that displays for an member's account:
Make sure you're talking to the right person. Demonstrating control over the account they want to alter is sufficient, or else you can check their ID against the number and type (student, driver's licence, etc.) in UCCPortal.
Log in to samson as your standard UCC user.
Run sudo samba-tool user edit <username> and authenticate with your UCC password. This will open the user's ActiveDirectory object for editing with vim, in key: value format.
Alter the contents of the displayName, gecos, givenName (only if changing first name), and sn (only if changing surname), as appropriate.
- Save and quit the file.
The change takes immediate effect, however various downstream systems cache user credentials for different periods of time. If still not showing up after logging out and back in, and after waiting a few hours, send an email to [email protected] or reach out to fellow wheel members on Discord.
Finally, go pester a committee or door member to update the member's record in UCCPortal
For committee/door members
To change the member's name in the member register:
Navigate to https://portal.ucc.asn.au/ and login with your UCC credentials.
On the top bar, click on ADMIN SITE and then (most of the way down the page) click on "Internal UCC member records".
- Search the member's record by existing first name, surname, or username.
- Navigate to the member's record details by clicking on the corresponding first name entry.
- Verify the person's identity, if you don't personally know them, by checking and ID that matches the recorded number and type (student, driver's licence, etc.) on their membership entry. The name on their ID need not match the member record, so long as you can be sure you're talking to the right person.
- Alter the given name, other names (intended to contain surname for someone whose name follows standard English naming conventions) and display name fields, as appropriate.
Scroll to the bottom of the page and click on the SAVE button in the right-hand corner.
Done! Finally, go pester a wheel member to update the member's record in ActiveDirectory
